The challenge

Most new client enquiries came through WhatsApp. The owner of the firm has really good social media outreach, so leads arrive in the hundreds, spread evenly throughout the day. The problem was that WhatsApp wasn't designed to manage a growing pipeline.

Messages were spread across individual conversations and phones. A new message from an existing client could also appear alongside new enquiries, making it difficult to tell who was a new lead and who was already a client.

There was also no clear way to answer:

What the firm needed: a simple way to capture enquiries, identify them, track their journey and move qualified leads into the CRM.

The solution

I built a system around the firm's actual workflow.

1 · One-click WhatsApp capture

A custom Chrome extension works alongside WhatsApp Web. When an enquiry arrives, staff can capture it with one click instead of manually copying and retyping information. Enquiries arrive steadily throughout the day, but nobody has to keep watching WhatsApp: once each morning, one employee moves everything that has come in into the system, in about 10 minutes.

The captured details are then added to the Lead Tracker, where the team can check whether the person is already in the firm's database.

2 · Custom Lead Tracker

The Lead Tracker gives every enquiry a clear stage and next action. For example:

New lead Contacted Question answered Interested Needs expert Converted to client

Other outcomes can also be tracked, such as:

Called Answered / Not answered Follow-up needed Not interested

This means the team can see exactly where each enquiry is in its journey and what needs to happen next. When a lead becomes a client, they can then be moved into the existing CRM/database.
